Bursary FAQs

Who is eligible for a bursary?

Bursaries are primarily for patients, relatives and carers.

What does a bursary place cover?

At the NCIN’s discretion, a bursary place may cover:

Conference registration (full registration, single day or double day as required)

­Accommodation (for Wednesday 12th June 2013 and/or Thursday 13th June 2013, as required)

Refreshments as follows:

Wednesday, 12th June 2013

Lunch in the exhibition hall

Dinner in the hotel restaurant

Thursday, 13th June 2013

Breakfast (if you had accommodation on 12th June 2013)

Lunch in the exhibition hall

Conference dinner (if you have full registration)

Friday, 14th June 2013

Breakfast (if you had accommodation on 13th June 2013)

Lunch in the exhibition hall or a packed lunch to take away

  • All tickets will be booked by the NCIN in advance & the collection details emailed to you
  • For train travel - tickets will be standard class and advance
  • For travel by motor vehicle - mileage will be reimbursed after the conference, subject to submission of an expenses claim form, detailing accurate miles travelled and the engine capacity of your vehicle.
  • For travel by aeroplane - tickets will be economy class.
  • Parking - if you are driving to the conference we will pay for your parking space at the conference venue, provided that you request this in advance.  If you travelling by train or aeroplane the bursary will not cover the cost of parking at stations or airports.
  • Travel by taxi – the bursary does not include travel by taxi.

When is the closing date for bursary applications?

The closing date for receipt of applications is Friday, 29th March 2013, 18:00 hours. 

How will I know if I have been awarded a bursary?

You will be contacted via email and notified of the decision.  We will inform you within one to two weeks of your application being sent to us.

Will I receive notification that my application has been received?

No; you will not receive notification that your application has been received.  You will be informed of our decision within one to two weeks of receipt of your application.

Do I need to register for the conference if I am awarded a bursary?

Yes, you will need to register for the conference.  Once you have been informed that you have been awarded a bursary, you will be given instructions on how to register.  The closing date for conference registration is Thursday, 10th May 2013, 18:00 hours.

What happens if I am given a bursary place, but then need to withdraw from the conference?

Please inform us as soon as possible, by emailing conference at ncin dot org.uk link conference@ncin.org.uk

The deadline for informing us is Thursday, 10th May 2013, 18:00 hours.  If you do not inform us by this date, and you do not attend the conference, we will need to charge you for any costs that we have incurred as a result of your non-attendance.  The costs incurred could include registration, accommodation, refreshments and travel.

If I have been awarded a bursary place, how do I obtain my travel expenses?

If you are travelling by train or aeroplane the NCIN will book your travel and you will therefore not need to claim expenses. If you are travelling by motor vehicle mileage can be claimed back after the conference, using an expense claim form (which we will forward to you in advance).  The amount that you can claim will be based on the number of miles travelled and the engine size of your vehicle.

If I am awarded a bursary and it includes the cost of travel, how do I obtain my tickets?

Travel by train – the NCIN will book your travel and the confirmation details will be emailed to you.  You will then need to collect the tickets in advance of travel.  Tickets will be standard class and advance.

Travel by motor vehicle – mileage can be claimed back after the conference, using an expense claim form (which we will forward to you in advance).  The amount that you can claim will be based on the number of miles travelled and the engine size of your vehicle.

Travel by aeroplane – the NCIN will book your tickets and the details will be emailed to you.  You will then need to print your boarding card. Tickets will be economy class.

If I have a railcard will you be able to use it when booking my travel?

Yes; please let us know if you have a railcard, along with its expiry date.  We will then be able to use this to obtain a discount on your tickets.

If I am awarded a bursary and it includes the cost of travel, am I able to book my own tickets?

No, you will not be able to book your own tickets.  A condition of having your travel paid is that the NCIN will book your tickets.

Does a bursary cover travel by taxi?

No; the bursary does not cover travel by taxi. 

If I travel by road does a bursary cover the cost of parking?

If you receive a bursary to cover your mileage, we will pay for your parking space at the conference venue, provided that you request this in advance.If you travelling by train or aeroplane: the bursary will not cover the costs of parking at stations or airports.

Does a bursary place cover refreshments on my journey?

No, we will not be able to reimburse you for any refreshments bought when travelling either to or from the conference.

If I am awarded a bursary, and I prefer either to eat outside the hotel or to order room service within the hotel, will the cost of these refreshments be reimbursed?

No; the bursary only covers meals that are provided as part of the conference.  These are:

Does a bursary cover the conference dinner?

If you are attending the full conference (Wednesday, 12th June 2013 to Friday, 14th June 2013) the conference dinner will be included in your bursary.  If you are attending part of the conference, the dinner ticket will be awarded at the NCIN’s discretion and you will be informed of this via email.
